Candidates support the National Environmental Satellite, Data, and Information Service (NESDIS) to transfer scientific advances into operational software, from prototype, integration, to fully operational software. Candidate will provide general administrative support to the program manager, project managers, customer and GAMA-1 back-office support. Below outline the key duties and requirements of the Program Support Specialist position in support of both GAMA-1’s PLAIT and T4 contracts. This position is full-time with GAMA-1 and is off-site at our remote site in College Park, MD.
KEY DUTIES
- Understanding the client program objectives and alignment of operational support activities to meet those objectives. Assists in the establishment of Program standards, policies and processes. Ensuring the needs of the Program Manager and Project Managers for both PLAIT and T4 are met.
- Provide direction, guidance, and instruction to contract team members on administrative procedures.
- Research information in order to prepare reports or answer inquiries, including the monthly and quarterly reporting requirements.
- Receive and screen visitors and telephone calls.
- Interface with the customer.
- Arrange the logistics for meetings, including scheduling the time, space and equipment, coordinating with participants, and distributing handouts and agendas.
- Use software applications to prepare correspondence, reports, charts, and forms.
- Maintains/or provides assistance with administrative and financial tracking systems, and assists in the design and maintenance of spreadsheets and databases to support these systems.
- In coordination with the Program Manager, Project Managers, GAMA-1’s Recruiter and HR Department coordinates and supports the recruiting efforts on the contract. Specialist works with team to develop and post position requirements, works with internal to external recruiters, coordinates interviews, etc.
- In coordination with the Program Manager, Project Managers, GAMA-1’s Recruiter and HR Department coordinates and supports the onboarding activities of new employees.
- In coordination with GAMA-1’s Program Manager, maintains the contract facility by ordering supplies, coordinates with the government to maintain GFEs, and coordinates general maintenance activities.
- Ability to capture and record meeting minutes for Clients, Program Manager, and Project Managers.
- Other duties as assigned.
ESSENTIAL SKILLS
- Needs to be highly skilled in MS Office suite of products, to include MS Word, Excel, PowerPoint, SharePoint, Visio, etc.
- Familiarity with Google Docs is a Plus
- Good understanding of procedures and concepts within own discipline
- 2+ years providing exceptional customer service.
- Ability to pass the Governments Public Trust background investigation.
